Chronicall can be set to run reports automatically and save them to a file, send them in an email, or print them every hour, day, week, or month at a particular time. You can access this feature by clicking on Report Scheduling in the Call History section of the Chronicall Homepage.
The Report Scheduler window will show you a list of your current scheduled reports. To create a new schedule, click New Schedule in the bottom left corner. The first step to creating a new scheduled report is to choose the report. You can choose from any Standard or Custom Report. Holding down Ctrl or Shift while clicking through the list will allow you to select multiple reports. You will also be given a chance to add more reports to the same schedule later on. Click Next when you've made a selection.
You will then need to choose a name for your schedule, which will also appear in the subject line of the emails sent out by the report scheduler, and the method you would like to use for creating these reports. You can have them emailed to one or more email addresses, saved to a directory, or printed using a specified printer. You can also choose a file format to use if you are sending the report through email or saving it to your computer.
By default, Chronicall uses its own specialized mail server to send emails. You can specify your own SMTP server for Chronicall to use if you prefer. See SMTP Setup for more information.
The next step in the report scheduling process is to create the actual schedule. Clicking on the gray Delivery Time box will open a Date/Time Range window, allowing you to specify the date and time of the first report. Options for hourly, daily, weekly, and monthly reports can be found beneath the Delivery Time box. The Monthly option will allow you to choose between scheduling the report for a certain date (the 4th of each month) or a specific day and week (the first Thursday of each month). Clicking on the Select Months button in the bottom right corner will also let you choose which months to apply the schedule to. By default, they are all selected.
The final step is to give the chosen report the parameters it needs to be able to run. These are the same options you would have when running the report the usual way. You can choose to run more reports at the same time by clicking Add in the bottom left corner of the screen. A report that still needs its parameters set will appear red in the list, and reports that are finished will appear black. Once all report parameters have been filled out, you will be able to click Finish. Your report will now be created at the specified time.
From there, the report timeframe will automatically adjust as each report is created. For example, if you run a weekly report on Friday the 5th that includes data from Monday the 1st through Friday the 5th, the next week's report (which will be created on Friday the 12th) will include data from Monday the 8th to Friday the 12th.
